The Contacts section is your built-in address book in Cal ID. It automatically saves everyone who books time with you, so you can search, edit, and schedule with them from one place.

How contacts are created

Contacts land in your address book two ways:

Add a contact manually

Open the Add Contact form

Click the ”+ Add Contact” button at the top right of the Contacts page.

Enter their details

In the pop-up, fill in their Full Name, Email Address, Phone Number, and private Notes, then save.

Finding and viewing contacts

Search for a person

Type a Name, Email, or Phone Number into the search bar at the top left of the Contacts page to find anyone.

Open their full profile

Click the three dots (…) under the Actions column and select View Profile.

Review their history

The profile shows their contact info, your private notes, and a clear list of all Upcoming Meetings and Meeting History (Past/Cancelled).

Edit a contact

To update someone’s details, click Edit Contact. A pop-up opens where you can change the contact information. Click Update Contact to save your changes.

Taking action with contacts

Click the three dots (…) under the Actions column to perform several quick tasks:

A. Share availability

If a contact needs to book a new time with you, click Share Availability in the Actions menu.

Choose the event type

Select the event type you want them to book.

Send it their way

Copy the Link, send it directly via WhatsApp, or open a Gmail draft with the link included.

B. Direct scheduling

You can book a meeting for a contact directly, without sending a link:

Open Schedule Meeting

Click Schedule Meeting in the Actions menu.

Choose the event type

Choose the event type you want to book for them.

Select the date and time slot

Select the Date and Time Slot.

Fill in booking questions

Fill in any additional booking questions. The Name and Email are filled automatically from their contact info.

Confirm booking

Click Confirm Booking. The meeting will now appear in your Bookings tab and Unified Calendar.

Direct scheduling is ideal when you’re on a call and want to lock in a follow-up on the spot — no back-and-forth link needed.

C. Block a contact

Blocking stops someone from scheduling with you. A blocked contact can no longer book any of your event types until you unblock them.

Find the contact

Go to Contacts and locate the person you want to block.

Block them

Click the three dots (…) under the Actions column and select Block Contact.
Blocked contacts stay in your address book, so their meeting history is preserved. You can review and unblock them at any time from the Contacts section.
Blocking applies to that contact’s email address. If the same person books again from a different email address, they arrive as a new contact and are not blocked.
Blocking does not cancel bookings that already exist. Cancel any upcoming meetings with that person separately.

Contact tags

Tags let you group contacts — by client, priority, source, or anything else — so you can filter your address book quickly. Each tag has a name and a colour, and a contact can carry several tags at once.

Stopping someone from booking you

Create a tag

Open Manage Tags

Go to Contacts and click Manage Tags.

Name the tag

Enter a name, such as VIP, Prospect, or Agency.

Choose a colour

Pick a colour for the tag. The colour is what makes tags scannable in the contact list, so use distinct colours for tags you check often.

Create it

Click Create. The tag is now available for every contact in your address book.

Open the contact's Tags field

In the contact list, click the + icon or the Tags field next to the contact.

Select the tags

Choose one or more tags from the list.

Save

Click Save. The tags appear against that contact straight away.

Remove a tag from a contact

Open the Tags field

Click the contact’s Tags field to open the tag selector.

Remove and save

Remove the tag you no longer want, then click Save.
Removing a tag from a contact only unlinks it from that person. The tag itself stays available and remains applied to every other contact that carries it.
Create your tags before a busy period rather than during one. Tagging a contact as you add them takes seconds; retro-tagging a few hundred contacts does not.

Deleting a contact

If you no longer need a contact in your list:

Open the profile

Go to View Profile for that contact.

Delete the contact

Click the red Delete Contact button on the left side of their profile page.
Deleting removes the contact and your private notes about them. If you only want to stop them booking you, block them instead.
